Privacy Notice
This notice explains what personal information the Orpington Circle collects, why we collect it, and the rights you have over it. We keep what we collect to a minimum.
Who we are
The Orpington Circle is a group of the National Liberal Club, 1 Whitehall Place, London SW1A 2HE. We raise funds in support of Liberal Democrat parliamentary by-election campaigns and run a programme of events for members and their guests. The Circle is a separate group from the National Liberal Club itself. If you book an event through the Club's members' site, the Club's own privacy notice applies to that booking.
What we collect, and why
Our mailing list
If you sign up, we collect your name and email address so we can send you news of forthcoming events and occasional updates about the Circle. Our lawful basis is your consent, which you give when you sign up. You can withdraw it at any time using the unsubscribe link in any email, or by emailing us.
The list is administered for us by EmailOctopus, which stores the data on our behalf and records standard delivery information such as whether an email was opened.
When you contact us
If you use the form on our contact page, we collect the name, email address and message you provide, so that we can reply. Our lawful basis is our legitimate interest in responding to enquiries. Form submissions are delivered to us by Web3Forms; we do not use them for marketing, and you are not added to the mailing list by contacting us.
Photographs at our events
We take photographs at some events and may publish them on this website or in our communications, to record the Circle's activities. Our lawful basis is our legitimate interest in promoting the work of the Circle. If you would prefer not to be photographed, or would like a photograph of you removed, please tell a member of the committee or email us and we will act on it promptly.
Donations to the Orpington Fund
If you give to the Fund, our Treasurer will hold the details needed to administer your gift and to meet our obligations under electoral law, which can require donors to be checked and certain donations to be reported. Our lawful basis is compliance with a legal obligation and our legitimate interest in maintaining proper financial records.
Cookies and analytics
This website sets no cookies of its own and uses no analytics or tracking. We do not profile visitors or track you across other websites, which is why you see no cookie banner here.
Two things are worth noting. Our pages load typefaces from Google Fonts, and the mailing-list form is provided by EmailOctopus — in each case your browser contacts those providers directly, and they will see your IP address as part of serving the request. The site is hosted on Cloudflare, which processes limited technical data to deliver and protect the site.
Who we share it with
We do not sell your data, and we do not share it with anyone for their own marketing. We share it only with the providers who help us run the Circle — EmailOctopus (mailing list), Web3Forms (contact form) and Cloudflare (hosting) — and where we are required to by law.
How long we keep it
We keep mailing-list details until you unsubscribe or ask us to remove you. Correspondence is kept only as long as needed to deal with the matter and for a reasonable period afterwards. Records relating to donations are kept for as long as electoral and financial rules require.
Your rights
Under UK data protection law you have the right to ask us for a copy of the information we hold about you; to have inaccurate information corrected; to ask us to erase it; to object to or restrict how we use it; and, where we rely on consent, to withdraw that consent at any time.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113. We would appreciate the chance to put things right first.
